WhatsApp Business for a Small Shop: Catalog and Replies
A WhatsApp Business workflow for stock, variants, delivery, order confirmation and returns, with bilingual replies a small shop can edit before sending.

To spend less time repeating product, delivery, and order answers on WhatsApp, keep one current product sheet, make each catalog card clear, and save short replies you can adjust for the customer. For a shop selling physical products, the sheet should include the variant, price, available quantity, dispatch timing, delivery area and fee, and return terms. Check it before sending a reply, especially when stock is running low.
All examples use Cedar & Clay, a fictional Dubai homeware shop: its Sandstone Mug is 320 ml and comes in Sand and Olive; each mug costs AED 48; Dubai delivery costs AED 15; pickup is available in Al Quoz by arrangement; confirmed in-stock items usually dispatch on the next business day; and its example policy accepts unused items within seven days and asks customers to report damage on arrival within 48 hours. These figures and terms are for the example only. Replace them with facts and a policy you have actually checked before you save a reply.
Set up the Business app and a catalog you can maintain
The WhatsApp Business app provides a business profile, product catalog, greetings, away messages, and quick replies for one-to-one conversations. The separate WhatsApp Business Platform is the API product for integrations and broader messaging workflows. Installing the app does not connect your stock, create an autonomous sender, or confirm an order.
Begin with the app if you run the shop yourself. Add a support contact, hours, service area, and description that are true today. Keep a person responsible for questions a saved reply cannot answer. Consider the Platform only when you have a specific integration need, someone who can maintain it, and a clear handoff to a human. Features and availability can vary by account, device, or country, so check the current app on your own account.
Build a product sheet before you write a reply
Record the facts a buyer needs in one place. Give each variant its own stock line, and write down when you last checked it.
| Field | Cedar & Clay example |
|---|---|
| Product and code | Sandstone Mug (CC-MUG-320) |
| Variants and quantity | Sand (5 available); Olive (2 available) |
| What the buyer receives | One hand-thrown stoneware mug, about 320 ml; small glaze variation is normal |
| Price | AED 48 per mug, checked 16 October 2026 |
| Delivery | Dubai AED 15; pickup in Al Quoz by arrangement |
| Dispatch | Usually the next business day after stock is confirmed |
| Returns | Unused items within 7 days; report arrival damage within 48 hours |
| Last check | 16 October 2026, 10:00 a.m. |
The WhatsApp Help Center catalog guide describes fields such as a product name, images, country of origin, price or sale price where available, description, website link, and product code. Use the fields your account actually shows. WhatsApp may review catalog images, and an item can be hidden while pending or after rejection, so do not treat the catalog as your inventory system.
Use a customer-facing name such as “Sandstone Mug, 320 ml,” not “M-17.” Show your own product from useful angles, include a scale reference when size is hard to judge, and describe the material, care, included pieces, colour, and compatibility. If a price or quantity is uncertain, say that you are checking it instead of turning an old value into a promise.
Let each conversation answer one buying question
Which variant and quantity are available?
Ask for the colour, size, model, and quantity before you promise anything. Check the matching line in your sheet, then state what you found and what still needs confirmation. If the last item is not verified, tell the customer to wait before paying. A catalog card can start the question; a person confirms the answer.
What will the customer pay for delivery?
Give the item price, the delivery area and fee, and the resulting total separately. Ask for the customer’s area before quoting a route-specific fee. In the example, one mug is AED 48 and Dubai delivery is AED 15, so the total is AED 63 only when the address is within that delivery route. Do not present a dispatch estimate as a guaranteed arrival date.
When is an order actually confirmed?
Send a short written recap: product, variant, quantity, item total, delivery fee, total, stock status, and the next payment or collection step. Mark the order confirmed only according to your own process after the facts you promised have been checked. A catalog click or a customer saying “yes” does not, by itself, prove stock or payment.
What should happen if a customer asks about a return?
Use the return terms you have published, and do not improvise an exception in chat. Ask for the order number and the minimum information needed to review the request. In the Cedar & Clay example, the reply can mention the seven-day unused-item window and the 48-hour arrival-damage report; a real shop must replace those terms with its own policy and follow the rules that apply to it.
Save six quick replies, then edit before sending
Quick replies are shortcuts for messages you send often. The official guide explains how to create them and currently documents a maximum of 50 stored replies. Selecting one puts its text in the compose field; read the customer’s message, update the facts, and send it yourself.
The six drafts below use the same product sheet and keep one clear next step in each message.
1. Stock and variant
English: “Hi! The Sandstone Mug is available in Sand and Olive. I’m checking the quantity before payment. Which colour would you like, and how many mugs do you need?”
2. Price and delivery
English: “The mug is AED 48, and delivery within Dubai is AED 15. One mug is AED 63 if your address is within our delivery route. Tell me your area and I’ll confirm the fee and total.”
3. Order recap
English: “Thanks. I have one Sandstone Mug in Sand at AED 48, plus AED 15 Dubai delivery: total AED 63. I’m checking stock now and will send the order confirmation and next payment step after I verify it.”
4. Return or arrival damage
English: “Thanks for letting us know. We accept unused items within seven days, and ask you to report arrival damage within 48 hours. Please send the order number and tell me whether the item is unused or arrived damaged; I’ll review it and explain the next step.”
Before saving this reply, replace the example terms with your actual published policy. Never let a shortcut invent a return window or promise a refund you have not approved.
5. Uncertain stock
English: “I don’t want to guess about the last Sandstone Mug. I’m checking the colour and quantity now and will reply with a clear yes or no. Please wait before paying.”
6. Promotional opt-out
English: “Understood. I’ll stop promotional messages from Cedar & Clay. We’ll keep this chat for a reply you request, such as an order update. If you want all contact to stop, tell us and we’ll respect that too.”
The WhatsApp Business Messaging Policy says a business needs opt-in before sending subsequent messages and must respect requests to stop or opt out. A product question is not promotional permission. Record the customer’s choice in the place your team actually uses, and keep a human available for order questions.
Run a ten-minute weekly check
Open the catalog as a new customer. Check each variant, price, product link, delivery fee, dispatch wording, and return link. Look for items that are pending review, hidden, or no longer sold. Send a test message from a second account and edit each quick reply as if the customer had chosen a different colour or quantity. Then walk through one order: stock check, total, payment or collection step, confirmation, dispatch note, and fulfilment record.
Lahjty turns the sheet into an English description, an Arabic version, captions, and reply drafts, and can help you make a free WhatsApp link. It does not look up stock, send messages, take payment, or manage the order. For related low-cost small-shop tools, see five useful websites for small-business marketing. The shop still checks the facts, edits the catalog, and decides what to send.
Ask a new customer to test the catalog
Ask someone who has never seen the shop to open one catalog item and answer four questions: What is it? Which variants are available? What will delivery cost? What happens after the customer says yes? Ask them to request a return and to opt out of promotions. If a reply invents a fact, asks for unnecessary personal data, or leaves the next action unclear, fix the sheet or reply before sharing the catalog.
FAQs
What information should I collect before writing a product reply?
Record the product code, each variant and its checked quantity, price and currency, dimensions or compatibility, delivery areas and fee, dispatch timing, return terms, and the time you last checked them. If a field is unknown, write that it needs confirmation instead of filling it with a guess.
How do I answer a variant or stock question without overpromising?
Ask which variant and quantity the customer wants, check the matching stock line, and state what is confirmed. If the count is uncertain or only one item remains, say you are checking and ask the customer to wait before paying. The catalog can display information; a person confirms availability.
How do I confirm a physical-product order in chat?
Recap the item, variant, quantity, item total, delivery fee, total, stock status, and the next payment or collection step. Send confirmation only after your own stock and payment process allows it, and keep the recap in the record your shop uses.
What should I say about a return or a damaged item?
Use the policy you have published, ask for the order number, and collect only what you need to review the request. Do not promise a refund, replacement, deadline, or exception that the shop has not approved. If the item arrived damaged, ask for the evidence your actual process requires and state when you will reply.
